Privacy Policy

SharedFrame (“we”, “us”) provides an offline-first event photo service for weddings and celebrations in the Philippines. This policy explains what information we collect, why we collect it, and how long we keep it. It applies to this website and to the SharedFrame service used at events.

The framework we follow

We handle personal information in line with the Philippines Data Privacy Act of 2012 (RA 10173) and its implementing rules. If you have questions about your rights as a data subject, or want to exercise them, contact us at godfrey@sharedframe.ph — that address is our sole point of contact for privacy requests.

Waitlist information

Joining the waitlist requires only your email address. That is the one piece of information we need, and it is all we store unless you choose to tell us more.

After you join, we invite you to fill in optional event details: your name, phone number, event type, target date, city or province, approximate guest count, preferred follow-up channel, how you heard about us, and any notes you would like to add. Every one of those fields is optional, and skipping them does not affect your place on the waitlist or your discount. We collect them only so we can follow up usefully about SharedFrame — by phone call, email, or Viber — to discuss availability and next steps for your event.

We do not sell waitlist information, and we do not use it for advertising to third parties. It is used solely for manual follow-up about your inquiry.

Guest face-matching data

At an event, guests find the photos they appear in by taking a selfie at a QR code. That selfie is processed on the local server at the venue and is never written to disk — no selfie image is stored, transmitted off-site as a photo, or kept after matching completes. Instead, the system derives a mathematical face embedding (a set of numbers describing facial geometry, not a picture) from the selfie, and uses it to find matching photos from the event.

That embedding is retained only until the guest’s gallery expires — the event date plus 30 days — so that guests can re-scan and recover their matches during that window if needed. Once the gallery expires, the embedding is destroyed as part of our routine embedding purge. Embeddings derived from event photos themselves (used to help match guests to photos they appear in) are retained separately and are covered by a future data retention policy as that capability matures.

Your gallery and photo downloads

Once matched, each guest receives a personal cloud gallery containing the photos they appear in, with full-resolution downloads available. Galleries expire 30 days after the event. After expiry, the gallery link stops serving the photos; we recommend downloading anything you want to keep before then.

Face matching runs locally

Face matching for an event happens on a local server at the venue, not in a remote data center, so photo matching does not depend on an internet connection during the event itself.

Other information we may collect

Like most websites, our hosting and analytics infrastructure may log standard technical information such as IP address, browser type, and pages visited, for security and site reliability purposes.

Retention summary

  • Waitlist form data: kept until you ask us to delete it, or until it is no longer needed for follow-up.
  • Guest selfies: never stored.
  • Guest face embeddings: retained until gallery expiry (event date + 30 days), then destroyed.
  • Guest galleries and full-resolution downloads: available for 30 days after the event.

Requesting access, correction, or deletion

You can ask us to access, correct, or delete personal information we hold about you — whether that is waitlist data or data related to an event gallery — at any time by emailing godfrey@sharedframe.ph. We will respond and act on verified requests as required by RA 10173.

Changes to this policy

We may update this policy as the service evolves. The date at the top of this page reflects the most recent update.
